StrongMind Central Privacy Policy

StrongMind (“StrongMind,” “we,” “us,” or “our”) knows the importance of online safety and protecting the privacy of the students and school staff and administrators who utilize StrongMind Central (collectively, the “Service”). This Privacy Policy explains how we collect, use, and disclose personal information when you use the Service. Please take a moment to familiarize yourself with this Privacy Policy.

This Privacy Policy covers data collection, use and disclosure related to StrongMind Central accounts provided and managed by a school, school district, or other educational institution. For information specifically about our collection, use and disclosure of the personal information of children under the age of 13 through StrongMind Central accounts provided and managed by a school, school district, or other educational institution, please see our COPPA Notice for StrongMind Central. If StrongMind is used through a homeschool account, please refer to our separate Privacy Policy for our homeschool service.

WHAT INFORMATION IS COLLECTED AND USED

Information About Students:

We collect only the information reasonably necessary to provide the StrongMind Central Platform. This includes:

  • Student first and last name, username and login credentials
  • Student IDs for other educational technology systems that your student’s school has chosen to integrate with StrongMind Central
  • Birthdate, age and grade level
  • State or region (for standards alignment)
  • Course enrollments, grades, progress tracking information, attendance minutes
  • Assessment scores and results
  • Information on accommodations or special programs, including IEP and 504 status
  • The StrongMind Central platform also provides functionality that allows school staff and administrators to upload photographs, which may include pictures of students. StrongMind Central does not maintain a photo of students as part of, or connected to, a student profile.

Information About Parents and Guardians:

We collect the following information about parents and guardians:

  • First and last name, username and login credentials
  • Email address, phone number
  • Information on student-guardian relationships
  • Activity records such as attendance approval records

Teachers, Administrators, and School Personnel:

We collect the following information about teachers, administrators and school personnel:

  • First and last name, user name and login credentials
  • Email address and phone number
  • School affiliation and role at the school
  • Administrative actions and reporting activity

Automatically Collected Information:

We may automatically collect technical information necessary to support internal operations, including:

  • Access time and date
  • IP address and approximate geographic location
  • Device type
  • Browser type
  • Operating system
  • Log files
  • Actions taken on the platform
  • Usage and progress data

StrongMind may use cookies and similar technologies to automatically collect this information. A cookie is a small file containing a string of characters that is sent to your computer when you visit a website or use an online service. When you visit the website or use the service again, the cookie allows that website or online service to recognize your browser or device. Cookies may store unique identifiers, user preferences and other information. We may use “session cookies” or “persistent cookies.” Session cookies are temporary and expire once you close your browser or once your session ends. Persistent cookies remain on your device for much longer or until you or your browser erase them. Persistent cookies have varying durations that are dependent on their expiration date. We may also use of third-party cookies and other data collection tools to help analyze how visitors use the website, products and services.

StrongMind does not use or permit the use of cookies or other automated data collection tools for behavioral advertising purposes on the Service.

Chatbot Functions

Our Service may feature certain user-facing chatbot functions that are facilitated and maintained by third-party service providers. Like our other service providers, these companies are not permitted to use your information for their own purposes and may only handle your data at our express direction. The chatbot is not a real person, but instead a computer relying on software code to answer questions you may have in navigating our website and finding other information on our Service that may be of interest to you. Use of the chatbot is voluntary.

When you use the chatbot, we may collect any personal information that you choose to provide. This includes the question or comment you submit. We request that you not provide personal information when using the chatbot.

We may also automatically collect certain usage information when you use the chatbot, such as device identifiers, IP address, access times, and date/time stamps.

HOW WE USE YOUR INFORMATION

Personal information is processed for the purpose of providing the Service and as otherwise described in this section.

StrongMind uses student and school staff and administrator information to create and manage accounts, provide access to the Service, communicate with users, and deliver educational content and academic reporting.

StrongMind processes student information to provide instructional delivery, assessment grading, progress tracking, reporting dashboards, adaptive learning features, and other features designed to enhance educational outcomes.

The Service may include automated systems that analyze student performance and interactions, generate insights, personalize instructional pathways, adjust content difficulty, support platform functionality and service improvement, improve user experience.

We may also use the information we collect for the following purposes:

  • To respond to your inquiries and send administrative information to you, such as about your account or purchases or respond to your inquiries and requests for information
  • For security purposes
  • As we believe to be necessary or appropriate: (i) under applicable law; (ii) to comply with legal process; (iii) to respond to requests from public and government authorities; (iv) to enforce this Policy; (v) to protect our operations; (vi) to protect our rights, privacy, safety or property, and/or that of you or others; and (vii) to allow us to pursue available remedies or limit the damages that we may sustain
  • As otherwise described to you when we collect the personal information

StrongMind may use de-identified and aggregated data to improve the Service and to develop and improve its other products, services, and educational tools.

HOW WE SHARE YOUR INFORMATION

StrongMind may share personal information we collect:

  • With trusted service providers who perform services on our behalf and are contractually obligated to safeguard information
  • With our website analytics vendors
  • When required by law or legal process and to enforce our rights, protect our property or protect the rights, property or safety of others, or as needed to support external auditing, compliance and corporate governance functions
  • In connection with a merger, acquisition, or change of control, provided privacy protections remain in place

RETENTION OF PERSONAL INFORMATION

The schools we support or service determine the retention periods for the student data we collect on the Service.

HOW WE STORE AND PROTECT YOUR INFORMATION

StrongMind maintains administrative, technical, and physical safeguards designed to protect personal information from unauthorized access, disclosure, alteration, and destruction. However, please note that no data transmission over the Internet or data storage system can be guaranteed to be 100% secure. It is your responsibility to protect the security of your login information.

In the event of a data breach, StrongMind will investigate and notify affected users as required by law.

YOUR CHOICES ABOUT YOUR INFORMATION

If your child has a StrongMind Central account, please contact the administrator of your child’s school if you have any questions about the management of your student’s StrongMind Central Account or the use of information by your child’s school. If we are notified by a school administrator that a parent has exercised any of the rights above, we will take appropriate action in cooperation with the school administrator.

CHILDREN’S DATA

StrongMind complies with the Childrenʼs Online Privacy Protection Act (“COPPA”). COPPA provides parents with certain rights related to their childʼs information, including to request deletion, and revoke consent to processing. Additional information can be found in our COPPA Notice for StrongMind Central.

OTHER WEBSITES AND SERVICES

Our Service may contain links to third-party websites and online services. StrongMind is not responsible for third-party services linked to or from the Service. Parents should review the privacy practices of any third-party services they choose to use.

DO NOT TRACK

Do Not Track is a privacy preference that you may be able set in your web browser to indicate that you do not want certain information about your webpage visits collected across websites when you have not interacted with that service on the page. Our Service does not currently take any action when it receives a Do Not Track request.

NEVADA RESIDENTS

Under Nevada law, we do not sell your personal information. However, if you are a Nevada resident, you may submit a request that we not sell any personal information we have collected about you by contacting us a [email protected].

CHANGES TO OUR PRIVACY POLICY

StrongMind may update this Privacy Policy from time to time. If material changes are made, we will provide notice consistent with applicable law prior to such changes becoming effective.

This Childrenʼs Online Privacy Protection Act (“COPPA”) Notice explains how we collect, use, and disclose personal information from children under the age of 13 when StrongMind Central is used by students through accounts provided by a school.

INFORMATION WE COLLECT FROM OR ABOUT CHILDREN

We collect only the information reasonably necessary to provide the StrongMind Central Platform. This includes:

Information Generated When a Child Uses Our Service

As a child uses the homeschool Product(s) and/or Service(s), we collect:

  • Assessment responses
  • Progress data
  • Performance analytics
  • Completion records
  • Activity and login history

This information is used solely to deliver instruction, provide feedback, and improve the childʼs educational experience.

 

Information Automatically Collected When a Child Uses Our Service

We may automatically collect technical information necessary to support internal operations, including:

This information is used for security, system functionality, analytics, and service improvement. It is not used for behavioral advertising.

Chatbot Functions

  • Deliver notifications to students within the StrongMind Central platform
  • Communicate with parents, guardians and school staff and administrators
  • Enable school administrative activities
  • Personalize instructional pathways
  • Support adaptive learning features
  • Maintain security and system functionality
  • Analyze and improve the effectiveness of our Product(s) and/or Service(s)

We may also use information we collect as we believe to be necessary or appropriate: under applicable law, to comply with legal process, to respond to requests from public and government authorities, and to enforce or defend our policies and contractual commitments.

StrongMind may de-identify and aggregate data to improve the Service and to develop and improve its other products, services, and educational tools.

HOW WE SHARE CHILDRENʼS INFORMATION

We do not share, or transfer children’s personal information other than as described in this Section. We may disclose aggregated information about many of our users, and information that does not identify any individual. We may disclose children’s personal information to the following third parties:

School staff and administrators.
Student data is used by the staff and administrators at your child’s school to help provide instruction and for various school administrative activities.

Third parties, including law enforcement and other governmental agencies in response to subpoenas or other lawful requests or when we believe disclosure is necessary to protect the rights, property, or safety of StrongMind, our customers or others, including to:

– protect the safety of a child;
– protect the safety and security of the Service; or
– enable us to take precautions against liability.

Depending on the request or situation, this could include federal and state law enforcement agencies, courts and thirdparty attorneys.
A successor in interest in the event of a merger, divestiture, restructuring, reorganization, dissolution, or other sale or transfer of some or all of StrongMind’s assets, whether as a going concern or as part of bankruptcy, liquidation, or similar proceeding or event.
The third-party purchaser of our business or assets.

DATA RETENTION

Our school and district customers determine the retention periods for the student data we collect.

PARENT RIGHTS

Under COPPA, parents have the right to:

  • Review the personal information collected from their child
  • Request correction of inaccurate information
  • Request deletion of their childʼs personal information
  • Revoke consent for further collection or use
